Booking Terms & Conditions

Based on your interests type of travel arrangements and destinations, our travel experts will assist you for organizing your travel plan. Once packages are confirmed, all the bookings should be booked by email or fax.

For any unexpected events such as flight delays, regional riots, natural disasters, etc…We, VN Holidays have reserve the right to provide alternative accommodation or switch around programs if, due to reasons beyond its control, hotels, flights or any other services as mentioned in the programs cannot be confirmed.

Prices

All prices quoted to the Clients are on a net basis and in United States Dollars, and are valid in accordance with the date specified on our printed tariffs and/or quotation and/or confirmation email issued/sent to the Clients.

Bookings

You may send your booking request by filling up our booking form (booking form) or dispatch to us informally in writing. To do the reservation for your trip we need following information from you:

  • Estimated Arrival & Departure day
  • Flight details (Flight numbers and flight times)
  • Number of pax(s)
  • Full name(s)
  • Nationality
  • Passport numbers
  • Desired hotel category
  • Room configuration (Single/ Twin/ Double/ Triple room)
  • Guide (desired language)

Confirmation

After we received your booking request, we will do all necessary reservations and send you the up-dated booking status within 02-05 working days. As soon as all hotels and domestic flights confirmed in written we will send you our proforma invoice.

Deposit & Payment

Upon tour confirmation, a deposit of 50% is required in order to guarantee your reservation. From this deposited, the total amount of US$ 250/- per person is non-refundable, in case you cancel the trip from your side. The balance will be paid back, according to our cancellation policy, within 1 week.

The amount stated in invoice should be credited in full regardless of any bank transfer charges. The remaining balance you have to pay in US$ cash upon arrival. Online Payment by Credit card is not acceptable because of our policy and bank facilities limitation.

Cancellation Policy
Cancellation fees are calculated on the day written notification received.
Cancellation policy will apply in addition to any other fees charged by relevant hotel or other supplier as follows : –

  • 30 days (1 month) prior to arrival date No cancellation
  • 15 days prior to arrival date 50%
  • 7 – 14 days prior to arrival 70%
  • 4– 6 days prior to arrival 85%
  • 3 – 5 days prior to arrival 100%
  • No Show No Refund

However, we will consider case by case depending on our supplier’s cancellation policies.

After commencement of travel, no refund either in full or partly, will be given for unutilized services included in the program.

Note: The above calculation does not cover international airfare and bank charge.

In some certain destinations, the cancellation policy of most hotels are two months ahead for both of group travels (GIT) and individual travels (FIT). Hence, strict cancellation and deposit policies apply for bookings of river cruises, beach hotels and some small and beautiful boutique hotels. So the action of cancellation charges will occur according to the hotel cancellation policy.

Visa

It is your responsibility to arrange visas before traveling. You can obtain visa on arrival in Cambodia, Laos and Myanmar. For Vietnam, Vietnam visa can be applied ONLINE (E-visa). Please check more details with us if you have any doubt.

Safety

During your holidays in Indochina, you will have your own interests and explore at your pace, however any optional activities that runs from any operators or yourself are not part of VN Holidays program/ itinerary, we make no representation about safety.

Child Discount

Child under 10 years old is generally granted a reduction of 25% of the tour price, provided that he/she is accompanied by at least two full-paying adults and stays in the same room in an existing bed. Or, please contact us to quote special price if you have more than one child. Please also check with us for Child Airfare before booking with us.

Vouchers

Detailed confirmation email / invoice to be sent by VN Holidays are considered as Vouchers for your holiday(s). However, upon your arrival, all travel documents will be delivered by our representative/ tour guide.

Our Liability

VN Holidays acts only on behalf of airlines, hotels, transport operators and other service companies providing services. Therefore, VN Holidays is not responsible for any loss, accidents, injury to health and other personal damage, in case of death, personal losses, delays, breakdown of conveyances, labor disputes, acts of war and civil war.

Additional expenses caused by Acts of God, stormy weather or others (as mentioned above) must be born by the tourists. No compensation will be given for bad weather, non-attendance or cancelled activities. Meals not taken are also not refundable.

VN Holidays reserves the right to alter the program if necessary due to reasons beyond our control or in the interest of our clients. In this case VN Holidays will undertake to offer sufficient and satisfactory alternatives.

Bookings which made to VN Holidays implies that you agree to the above mentioned terms & conditions.
